Tools
The Tools menu has the following options as shown below:

The User Configuration screen allows you to manage your departments and CallData users.
To modify the properties of a department or user, right-click on the department or user icon and select Properties. You can add a new user or department by right-clicking on the User Configuration screen and selecting Add User or Add Department. Right-clicking on the User Configuration screen and selecting Delete User or Delete Department will allow you to delete the selected user or department.

Double click on a department to see the members in it. You can also drag and drop users into departments.
CallData can monitor phone usage within your organization and send you an alert when something happens that you need to know.
For example, you can configure CallData to notify you when the service is down, when a specific phone number is called, when all lines are in use, etc. You can even create your own custom alerts.

The Server Options allow you to edit the settings for the email account used to send and receive alerts, manage the IP address and streaming data port for your phone system and view your CallData license key.

| • | From Email Address for Alerts: This is the email address from which alerts will be sent. |
| • | Email Server Host Name or IP Address: The IP address or host name of the email server for the "From Email Address for Alerts" account. |
| • | Email User Account: The username for the account that CallData will use to login to the email server to send messages. |
| • | Email Password: The password for the account that CallData will use to login to the email server. |
| • | IP Address of Phone System: The IP address of your phone system. |
| • | Streaming Port of Phone System: Your phone systems' streaming data port. |
| • | License Key: Your CallData license key. |
The Database Maintenance is explained in detail in the Administration section. The Database Maintenance screen is explained in the Database Maintenance section.
This will open the Change Password dialog box, where you can enter your new password. Enter your password again for verification and click Yes to change your password.

Phone number grouping allows you to categorize multiple phone numbers into groups for easier reporting, analysis and invoicing. See the Create a New Phone Number Group topic for additional information on phone number grouping.

The Call Cost Configuration window shows all the existing cost rules for all applicable locations and departments. Right click on each rule to add, edit or delete a Call Cost Rule. More information on creating Call Cost Rules can be found in the Call Cost Rule Configuration section.
If there is no rule for an extension, then CallData will apply any rules for the department. If the department has no rules defined, then any location rules will be applied and if no location rules are defined, then any global rules will be applied.
Call cost rules are applied hierarchically in the following order:

Call cost rules can become somewhat complex, depending on your phone service. To make setting up your call cost rules easier, CallData has also incorporated the State Call Cost Rules Wizard which simplifies the configuration of state call cost rules. |

Below is the window which shows the user options page consisting of a template and properties section on the left.

The User Options screen allows each user to configure specific CallData options based upon their preferences.
| • | Report Band Color: The color of the alternating bands displayed on reports (i.e. greenbar reports). Double-clicking in the text box will display a color chooser window which will auto-generate the RGB value for you. |
| • | Font Size: The size of the text displayed within CallData. |
| • | Skin Color: The main color of the CallData windows and toolbars. Double-clicking in the text box will display a color chooser window which will auto-generate the RGB value for you. |
| • | Gradient Color: The gradient color within the CallData screens and toolbars. Double-clicking in the text box will display a color chooser window which will auto-generate the RGB value for you. |
| • | Default (button): Returns all options to their default settings. |
| • | Tool Tips: When checked, tool tips will be displayed on the main window. |
| • | Status Bar Hints: When checked, the status bar (on the bottom of the screen) will display hints and additional information when you mouse over various things in CallData. |
| • | Popup Hints: When checked, popup hints will be displayed when you mouse over various things in CallData. |
| • | Live View Icon Size: Select the size of the icons displayed on the Live Screen. |
| • | Idle Time Logoff: The length of time before CallData will log you out of the application. |
| • | Chart Color Template: The color scheme used to display charts and graphs on reports. |
CallData also incorporates the use of Wizards to make repetitive tasks such as setting up State Call Cost Rules & automatically adding Extensions per Department much easier and faster.
