Create an Alert
You can setup various alerts within CallData to notify you (or someone else) when and if a specific event happens.
1. To create a new alert, click on Tools -> Alerts.

2. This will display the Alerts screen.

3. Right click on the Alerts screen and select Add Alert.

5. Enter the following information:
| • | Alert Name: The name of the alert. |
| • | Send to Email: The email addresses that the alert will be sent to. Multiple email addresses can be entered by separating each address with a semicolon (i.e. john@mydomain.com;bob@mydomain.com). |
| • | Alert Type: |
| ► | Phone Number Called: If a specific phone number is called, then the alert will be sent. |
| ► | Number of Lines in Use greater than or equal to X: If the number of phone lines in use is greater than or equal to X (X is the variable you define), then the alert will be sent. |
| ► | Duration of a Call is greater than or equal to X seconds: If a call is longer than X (X is the variable you define) seconds, then the alert will be sent. |
| ► | Service has no Connection to Phone System: If the CallData service looses connection to the phone system, then the alert will be sent. |
| ► | Same Number Called more than X times in Y seconds: If the same number is called more then X times in Y (X & Y are the variables you define) seconds, then the alert will be sent. |
| ► | No Data from Phone System for X minutes: If CallData doesn't receive any data from the phone system for X (X is the variable defined by you), then the alert will be sent. |
| ► | Airtime for Extension is lower X% in Y minutes: If the call duration for an extension is lower than X% in Y minutes (X & Y are the variables you define), then the alert will be sent. |
| ► | Service has no Connection to SQL Server: If the CallData service is unable to connect to the SQL Server, then the alert will be sent. |
| ► | Long Distance Call: If a long distance call is made, then the alert will be sent. |
| ► | Phone Usage while Status not (in office): If an extension has any activity while the status is set to anything other than "in office", then the alert will be sent. |
Depending on the Alert Type selected, the options below will change.
Many cellular carriers assign email addresses to cellular phone numbers and support SMS or text messaging by email. In order to receive text messages, the recipient will need text messaging enabled on their cellular plan (most carriers enable it by default) and have a phone capable of receiving SMS text messages (most new phones support SMS messaging).
When configuring an alert, enter the "Send to Email" address that is assigned to the cellular phone number the alert is to be sent.

The major US cellular carriers limit message length to 160 characters total, although some carriers will break apart larger messages into 160 character messages. Keep this in mind when creating alerts that will be sent via SMS.
